Your records & privacy
Your paperwork
Original uploads and business records are stored in your private account on our server. Each account's records are kept separately and are not sold. Inside the app, only you open your paperwork; authorized Ricerca Labs staff see the account activity described under Service activity. Our hosting, database, and backup providers store this data on our behalf under their own agreements. You can download your records and originals from Settings.
When you enable AI document reading, difficult PDFs and images are sent to Google to extract information. Validated details can update your records automatically, with source-page references. Missing, incomplete, or conflicting details remain for review. Check extracted details against the original. You can turn off AI document reading in your account.
Laya
Before Laya sends anything to Google, you choose whether to allow it, and you can turn it off again from the Laya privacy button. Once allowed, your messages, voice audio, and relevant numbers from the selected workspace are processed by Google when you use Laya. Original paperwork and business identities are not included in the conversation context. Maintenance searches use truck specifications, symptoms, and fault codes. Replay recordings stay on your device until you download or share them.
Optional anonymous lane averages
The separate checkbox in Laya privacy lets figures from new broker calls contribute to lane averages. It is off until you enable it. We keep one corrected contribution per call in your private account: normalized markets, equipment, routed loaded miles and the reported broker offers, driver asks and agreed figures. Audio, transcripts, broker names, phone numbers and coordinates are not stored in the lane index.
Sharing lane averages is not enabled while we review this feature. If enabled later, only aggregate figures will be shared after at least three accounts and seven calls in a seven-day window, or thirty days when the shorter window is too small. Those windows end at least twenty-four hours before publication, and recently corrected calls also wait twenty-four hours. Broker offers and agreed figures stay separate; driver asks are not published as market rates. These are self-reported call figures, not independently verified load-board prices. Private contributions expire after thirty-one days when the index is next read or updated. Turning this choice off removes your live contributions; encrypted backups cycle out within thirty days. Account deletion also removes them.
Sign-in, payments & email
Supabase handles sign-in and verification. Stripe handles card details and subscriptions; the app stores subscription status, not card numbers. Resend delivers account and reminder email. Google or Apple receives the sign-in information you approve when using its sign-in button.
Reminders & corrections
Document reminders use accepted due or expiry dates from your records, normally 30 days beforehand. Missing or conflicting dates need review. Uploading a document does not mean a tax return was filed, a license was renewed, or a payment was received.
Service activity
To operate the app and help with support, authorized administrators can view account activity, subscription status, AI allowances, processing results, and document-storage totals. Daily API request counts, response times, and error counts are kept for 90 days; these summaries do not contain request text, document contents, or IP addresses.
If your saved loads include a pickup city and state, that recorded location may appear in the account management view. It is not your current location. This view does not collect live GPS.
Support
Your optional profile name, business name, phone number, and time zone help personalize your account and arrange requested callbacks. Support request messages and callback details are stored encrypted and are visible to authorized support staff. They are removed with your live account. Do not include passwords, verification codes, or card numbers in a support request.
Authorized support actions are logged. Support can send a password reset link, sign out sessions, adjust allowances, retry failed processing, or restore a saved version of business settings. Your password is never shown to support.
Cancellation, retention & deletion
Canceling stops your next subscription charge. Your access, including readable business records, continues through the end of your paid period. Cancellation takes effect at that time. We retain your account and records for 30 days after that date, then delete the account and its live records. Download your records and originals from Settings before your paid access ends.
If you request account deletion, we remove your live account and paperwork within 7 days of the request. Backup copies are encrypted and cycle out within 30 days of the request. Payment records held by Stripe follow its own retention rules.
